You have been a relationship manager for eighteen years, and Fernbrook Foodservice is one of the clients you are proudest of: a wholesale distributor supplying cafés and restaurants across two islands, growing into two new regions. Your paper asks the credit committee for a US$3.5m expansion revolver. The chair opened by saying it looked straightforward. Fernbrook's owner is waiting for your call tonight.

You have just finished presenting. The committee's most junior member — third vote of five, a year or so into the seat — asks, quite politely: “Could we look at the receivables gross of the customer advances? What does the funding need look like on that view?” Then a second question: of the new-region revenue, how much ships with return rights, and what has the return experience been?

You know the answer to the first. The receivables in the body of your paper, US$6.2m, are shown net of US$1.8m of customer advances and rebate accruals. It is disclosed, in full, in appendix four. On a gross view the business needs more working capital than your paper sized for. You do not know the answer to the second.

Customer advances are money a business has been paid before it delivers. Set against receivables they make the working capital the business must fund look smaller than it is — which is why a lender reads receivables gross of them before sizing a facility.
